UbiniOS for Fuel Stations
Know every litre and every naira at every station
Tanks, pumps, dips, tanker deliveries, attendant shifts and prepaid vouchers in one system that does the arithmetic, and tells you the moment something does not add up. No standing on the forecourt required.

- Litres that leave the tank without being paid for
- Attendant shortages that are noticed late, or never
- Tanker deliveries that come in short
- Pump prices changed without authority
- Dip readings skipped or written up after the fact
- Paper meter sheets that are hard to check and easy to alter
- Prepaid fuel for fleet customers tracked in notebooks
- Losses that only show up at month end
A modern fuel business needs more than a meter sheet and a calculator. It needs every litre and every naira tracked from the tanker to the bank, in one system.
How it connects
- 01Pump price
- 02Tanker delivery
- 03Tank dips
- 04Attendant shift
- 05Shift approval
- 06Daily reconciliation
- 07Alerts & morning brief
- 08Books & supplier bills
A delivery feeds the next morning’s reconciliation and creates the supplier bill. A shift locks the price, works out each attendant’s position, and posts to the books once a second person approves it.
What you get

Attendant shift sheets
The paper meter sheet, replaced by one the system checks as you go.
- An attendant on every nozzle, picked from the staff list
- Opening meters pre-filled from the last closed shift
- Readings below the last closing rejected unless marked as a reset
- Cash, POS, transfer and voucher takings declared per attendant
- Litres sold, naira expected and shortage worked out per attendant
Shift approval & corrections
A second person checks the money before it reaches the books.
- Open, closed, approved, then locked
- Optionally, the person who closed a shift cannot approve it
- Reopening needs a written reason, and the count is shown
Daily wet-stock reconciliation
Catch product that leaves the tank without being sold.
- Runs every morning at 06:30 for every tank
- Opening dip + deliveries − metered sales = expected closing
- OK, Warning or Critical against limits you set
- Missing dips flagged as No Data, never ignored
Fuel vouchers for fleets
Sell prepaid fuel to transport companies and organisations.

- Issue up to 100 at once, linked to a customer
- Part payments, receipts and automatic expiry
- Redeem on the forecourt shift or at the till

Automatic bookkeeping
Approved shifts and deliveries land in the accounts without re-keying.
- A journal for every approved shift, takings posted by tender
- Each attendant’s shortage posted to an over/short account
- Voucher payments and refunds posted to voucher liability
- A draft supplier bill from every delivery, with shortage notes
Team, payroll & the forecourt shop
The rest of UbiniOS runs the people and the shop around the pumps.
- Attendants linked to employee records, rotas and clock-in
- Monthly or weekly payroll with PAYE and pension
- Lubricants and shop items in stock, sold through the till
Controls built in
The controls that protect your money
Short drops raise the alarm
A delivery short beyond your tolerance raises a Warning, a large one a Critical alert. Deliveries keyed in more than 24 hours late are flagged too.
Attendant shortages are graded
A shortage of 5% or more of expected takings, or ₦20,000 or more, is raised as Critical. Smaller shortages are raised as Warnings.
Prices cannot move mid-shift
A price change in the middle of the day cannot be used to change what attendants owe. The shift keeps the price it opened with.
Answers, not phone calls
- How full is each tank right now?
- Which tank lost product, on which day, and how much?
- Which attendants are short repeatedly, and by how much?
- Which supplier or driver delivers short?
- Which shifts are still waiting for approval?
- What prepaid fuel is still owed to customers?
The morning brief email arrives by 07:15, so you start the day knowing where the problems are.
